Terms of supply

1. Ordering and cancellation

When you purchase an exhibition product or advertising in a publication please remember that, in addition to these terms, you can also be subject to the terms and conditions of that specific item. Please contact our team who will be able to provide those terms and conditions to you. By completing the booking procedure on this site, this will be seen as an invitation to buy.

Please note, some of our exhibition products and advertising are sold "subject to availability". What this means is that we do not confirm your order immediately (your first confirmation e-mail will just be an acknowledgment of order) but if the fair is not organised by Studycentral Ltd. we will pass your details onto our partners-suppliers. Once the place is confirmed with them,  we will revert to you directly.

a. Charges for participation - The charge for participation is as shown for each product. The total charge is what is displayed as a total in your shopping cart for the items you have selected.

b. Payment for participation at the exhibition and services - The customer shall pay the full amount by credit card or by bank transfer. Alternatively, customer can pay a 30% deposit by credit card and the remaining balance by bank transfer within 14 days of receiving the invoice. In cases where payment is made via a bank transfer, the customer will be required to pay the total invoice in full within 14 days of submitting an order and receiving an invoice. In cases when registering for an event takes place less than 30 days before the first day of the event, the total fee is to be paid on the same day or the next consecutive day. All banking charges and bank transaction fees are to be covered by the customer

If the full balance is not paid and therefore the order is not completed, Studycentral can't guarantee an allocated space and any applicable discounts. In the event that an order is taken in an alternative way (ie not online) and therefore payment is not immediate, Studycentral has the right to charge the full price if the Exhibitor will fail to pay in full within Studycentral's payment terms of 14 days after receiving an invoice or fails to attend the event or deliver advertising materials on time. If payment is not received by the exhibition opening, the Exhibitor has to pay a 1% penalty calculated from the full amount of the booked exhibition participation and services per every overdue day excluding discount(s).

c. Cancellation of bookings - If, after booking exhibition/fair participation as part of a package, an Exhibitor shall desire to cancel their booking, they must give written notice to Studycentral that they desire to do so. A cancellation fee of 50% of the total charge for the booking (minus a 70 euro admin fee) can be refunded to Exhibitors if the cancellation was officially made not later than 150 days before the start date of the exhibition/fair in the initial first order (in case if the date of the event was changed or the Exhibitor participation was moved to the next edition of the same event  or one or two after, the start date of the fair is the date in the first initial order). The refund of any individual services/products booked on their own or in a package is not possible. No refund will be given for bookings of exhibition/fair participation cancelled by the Exhibitor within 150 days before the start date of the exhibition/fair. The cancellation of bookings for advertising in print or online is non-refundable.

d. If you send us your cancellation in writing, cancellation is not immediate, Studycentral Ltd will respond to you within 24 hours of receipt of your e-mail. Please take this 24 hour turnaround time into consideration when putting your cancellation in writing.

e. Cancellation, postponement and other alterations to exhibition participation by the Organiser

Whilst every endeavour will be made to adhere to the published dates, venue, schedule, duration and content of the Exhibition, the Organisers shall be entitled to change venue, content, schedule and dates of the exhibition, if in their opinion, this is in the general interest of the Exhibition.

In the event of cancellation or postponement of the Exhibition by the Organisers due to some Covid and/or other pandemic restrictions, low number of exhibitors and other reasons which can influence the organisation and results of the fair, the Exhibitors will be offered to move their participation at the same fee to the next edition of the same exhibition or the one after.

If the Exhibitor is not able to attend the exhibition with the same title on the next three editions, the Exhibitor may be refunded at the sole discretion of the Organisers at fee of 30% of the total stand price less a 5% administration cost. This will be done without prejudice to the Organisers' right to appropriate the entire sum or any part thereof for expenses they have already incurred for the Exhibition.

In the event of change of venue, date and/or duration, the agreement to participate shall remain in force so long as the Exhibitor is informed at least 14 days before such changes will take place.

Studycentral shall be under no liability to the Exhibitor in respect of any other claims, losses, costs or expenses whatsoever which may be brought against or suffered or incurred by the Exhibitor because of the Exhibition cancellation or postponing of the dates, change of venue, duration and content of the exhibition.
The cancellation for the exhibition will not affect other services and products on their own or as part of the package. The Exhibitor is still fully responsible to pay for services and products booked in full and they can't be refunded.

f. Bankruptcy or liquidation - In the event of an Exhibitor becoming bankrupt or (being a company) entering into liquidation other than for the purpose of reconstruction or amalgamation, or having a receiver appointed, Studycentral Ltd shall be at liberty to terminate forthwith the contract with such an Exhibitor and to cancel the allotment of exhibition space to the Exhibitor, and all sums paid by the Exhibitor under the contract shall be forfeited.

4. Passports/visas/health requirements

a. Any visa, passport and inoculation requirements are your responsibility and failure to obtain the relevant documentation is not the responsibility of Studycentral Ltd.

b. Where your exhibition package includes overseas travel, we can only advise of the requirements for British passport holders. All requirements should be checked with the relevant Embassy of the destination country. A valid 10-year passport is necessary for all our exhibition packages. Some overseas countries have an immigration requirement that your passport is valid for a minimum period after you enter that country, typically 6 months. If your passport is in its final year of validity, we advise you confirm the requirements of the destination before making final travel plans. You should apply for a passport or to renew an expired passport at least four weeks before travelling.

The UK Passport Agency can provide further information at: www.ukpa.gov.uk

5. Visas

a. You should contact your Embassy for information and advice on the visa requirements of the countries you propose to visit. Please note: Passport and visa regulations can change and you should therefore check with the relevant embassy well in advance of travel, even if you have travelled to this destination before. It is your responsibility to be in possession of a valid passport and, if appropriate, a visa. It can often take some time to obtain a visa, so you are advised to apply in plenty of time. We accept no responsibility for customers who do not possess the correct documents, exceed their stay in the country of visa required, or have the incorrect visa.
